The Governor Support Team provide a comprehensive administrative support, advice, training and clerking service to Headteachers and Governors.
Services are provided by trained and experienced staff.
Officers will ensure all appropriate legislation, central government guidelines and council procedures are complied with.
High quality advice, training and clerking support the efficiency and effectiveness of the whole governing body: effective governing bodies provide the best support to schools in raising pupil achievement.
We will deliver an accessible, prompt and helpful service responsive to your needs. Where we cannot help we will refer you to the correct officer.
The Governor Support Team offers three elements
Core
advice to Headteachers, Chairs and Governors on matters of procedure, legal requirements etc;
advice on election procedures for staff and parent governors and the appointment of community governors including provision of supporting documentation;
advice support and documentation to support the recruitment and retention of new governors;
provision of induction pack for new governors;
making arrangements for the appointment of LA representative governors in accordance with a published code of practice;
maintenance of accurate central database of all governors by school governing body and type of governor;
review when governors’ terms of office are coming to an end and take appropriate action, including arranging letters to thank those governors who have resigned;
maintain governors’ records of attendance, taking necessary action as required including informing absent governors of the date and time of next meeting;
maintain school files of minutes to be available for enquiries;
maintain a list of prospective governors which schools can access;
prepare termly draft agendas for schools and the LA;
provide termly briefing papers on key issues of policy and practice affecting governing bodies;
provide agendas, minutes and supporting papers to all governors as required;
co-ordinate consultation responses and governors’ decisions;
publish a termly governors’ newsletter including details of the training courses available;
maintain a governors’ resource library;
distribute relevant journals i.e. Governors’ News (one copy per school);
hold membership of national governor associations and advisory groups i.e. NASG, ACE;
provide termly link governor network meetings;
Training
arrange induction training for new governors;
arrange termly central training courses;
arrange whole governing body or cluster training events as required;
Clerking
arrange for a representative of the Clerking and Advisory Service to attend full governing body meetings to offer advice on legal procedures and good practice and to take accurate notes from which to prepare the minutes (a maximum of six meetings per year);
arrange for the minutes to be typed by the Business Support Clerical Officers
check all governing body minutes for compliance with statutory requirements;
draft minutes to be circulated to the Headteacher and Chair for approval;
arrange for any follow-up work from meetings to be undertaken and liaise between the governing body and local authority as required;
provide training and briefing sessions for Clerks to the governing body.
A realistic time frame in which to provide the requested service.
The Governor Support Team have a statutory duty to ensure that governors receive their agenda papers at least seven days prior to the date of the full governing body meeting and therefore will require the relevant paper work from schools no later than fourteen days before the date of the meeting to ensure that this requirement is met.
